Client status update template

Clients rarely need every internal detail. They need to know what changed, what is still moving, what is blocked, what happens next, and what decision you need.

Copyable five-section template

Subject: [Project] Week of [date] — [one-line status]

Completed
- [Result] — Evidence: [ticket, document, demo, or link]

In progress
- [Task] — Owner: [name] · Target: [date]

Blocked
- [Issue] — Needed: [decision, access, asset, or approval]

Next
- [Next action] — Owner: [name] · Due: [date]

Decisions needed
- [Decision] — Needed by: [date] · Consequence if delayed: [impact]

Keep one sentence per item when possible. If a line cannot be traced to a ticket, document, demo, or approval, either add the evidence or move it to internal notes.

How to use it

  1. Collect raw evidence from tickets, chat threads, documents, time entries, and demos.
  2. Group each item into completed, in progress, blocked, next, or decisions needed.
  3. Attach or link the evidence for every material claim.
  4. Remove internal-only comments, credentials, pricing assumptions, and unapproved names.
  5. Review tone, permissions, and commercial sensitivity before sending.

FAQ

How long should the update be?

Short enough to scan in one minute. Use one line per item and link the evidence instead of explaining everything.

What should I do if there is no progress?

Say so plainly and use the blocked and decisions-needed sections. Silence creates more concern than an honest lack of progress.

Should the client see internal notes?

Usually no. Keep coordination details internal until you can translate them into a client-safe action, blocker, or decision.

Does the generator upload my data?

No. The browser-only generator does not upload data, require an account, or send messages automatically. You review the draft first.
